What data do we collect about you, for what purpose and on what ground do we process it

The source of this data is from our analytics tracking system. We process this data to analyse your use of our website and other online services, to administer and protect our business and website, to deliver relevant website content and advertisements to you and to understand the effectiveness of our advertising. Our lawful ground for this processing is our legitimate interests which in this case are to enable us to properly administer our website and our business and to grow our business and to decide our marketing strategy.
- Subscriber Data that includes your name and email address and your preferences in receiving our marketing material. We process this data to enable you to receive our weekly newsletter. Our lawful ground for this processing is consent.
- Applicant Data that includes contact details, previous employment details and details of relevant experience. We process this data to review job applications. Our lawful ground of processing is contract as this process forms part of our pre-contract evaluation.
Sensitive Data
We do not collect any Sensitive Data about you. Sensitive data refers to data that includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health and genetic and biometric data. We do not collect any information about criminal convictions and offences.
Where we are required to collect personal data by law, or under the terms of the contract between us and you do not provide us with that data when requested, we may not be able to perform the contract (for example, to deliver goods or services to you). If you don’t provide us with the requested data, we may have to cancel a product or service you have ordered but if we do, we will notify you at the time.

Our objectives
- Monitor, measure, and offset our environmental impact.
- Reduce and improve our environmental impact by

- Raise awareness and encourage all employees to actively participate in our environmental initiatives.
- Provide training to employees, to ensure they understand and adhere to our environmental policies and procedure.
- Participate in local conservation initiatives and restoration programs.
Required actions and recommendations
Detailed below are the required and recommended actions to help reduce and improve the environmental impact of our principal contributors:
Business travel
Required actions- Our priority is to reduce business travel. The best alternatives to travel for us are meetings/calls via Microsoft Teams.
- When it is necessary to travel, business journeys should be made by train. If this is not possible due to times or location, travel by car should be the alternative. Air travel should always be the last resort.
- Taxis should only be used when walking, cycling, tubes or buses are not viable options.
- Meetings should be combined to reduce the number of journeys required.
- Meeting/event attendees should be kept to a minimum to reduce business travel.
- When organising an event, employees should consider the attendees’ combined carbon footprint when choosing the location.
- Choose green hotels, which are sustainable because they have reduced their environmental impact by saving water and energy, reducing waste, and considering staff well-being.
- Reduce the plastic and paper impact of eating away from home. Try and use re-usable cutlery and cups and carry a water bottle.
- Choose smaller eateries that support local culture and offer local and/or organic food and/or meat-free food.
- Consider walking, biking and/or public transport before traveling by car or taxi when commuting to an office or travelling to an unavoidable face-to-face meeting.
Paper and printing
Required actions- Our priority is to reduce the use of paper and printers and commit to becoming a paperless business.
- All documents will be sent, received and stored electronically to reduce printing, boost internal efficiencies and reduce postage/delivery CO2 emissions.
- Paper and/or printers should only be used if it significantly benefits an employee or contractor when completing a task, or if its use is mandatory.
- Where the use of paper and/or printers is necessary, documents should be edited as thoroughly as possible on screen before printing to reduce the number of versions, and then printed double sided.
- All employees and contractors will commit to re-using and recycling all paper waste produced in the course of printing.
- Once empty, any ink or toner cartridges will be returned for recycling, using any applicable eco schemes or methods.
- If there is a need to procure paper, we commit to sourcing and using paper that meets environmental specifications. That means sourcing from sustainable managed forests, using 100% recycled paper, or paper containing an element of recycled fibre.
- If there is a need to procure new printer ink cartridges, we commit to sourcing and using low carbon, recyclable, fast decomposing, environmentally friendly ink and printer cartridges.
- All paper, paper products or printing products needed for business should be purchased by Sarah Gibson or Debra Hollis-King to reduce waste from over ordering, ensure specification compliance and aid usage calculations.
Technology
Required actions
Energy efficiency- We will prioritise the use of energy-efficient hardware and devices.
- All employees should implement power-saving modes on all devices and power down equipment when not in use.
- All employees should decrease the brightness of screens to the lowest level acceptable.
- For internal Microsoft Teams meetings, the default should be audio only.
- Opt for suppliers who have a proven track record of environmental responsibility.
- Purchase hardware and devices that are energy-efficient and have recognised environmental certifications.
- Always consider the lifespan of tech products to reduce the frequency of replacements.
- Purchasing of hardware and equipment should be facilitated by Gregor MacKenzie and Debra Hollis-King.
- We will partner with certified e-waste disposal companies to ensure responsible disposal.
- We will promote and facilitate the recycling of electronic devices where possible.

- We will opt for cloud service providers that use renewable energy sources.
- We will regularly assess the energy efficiency of our data centres and make necessary upgrades.
Working from home energy use (heating, lighting, cooling)
Required actions
- All employees and contractors working from home will commit to keeping their energy consumption to a minimum.
- All employees and contractors will commit to implementing the paper and printing and the technology required actions whilst working from home.
- We will make new employees and associates aware of sources of information about the climate crisis and what they can do to reduce their own environmental impact.
Recommended actions
- Consider opting for green energy tariffs from your energy supplier.
- Try to make better use of natural light.
- Turn off lights when leaving your workspace.
- Make use of the timer on your thermostat.
- Try to reduce the plastic waste associated with food and drink in work hours.
Accountability, responsibility and review
Highland Marketing is using the year end 31 March 2024 as its base year and has made a pledge to be carbon neutral for each financial year going forward. We will monitor, measure and offset our carbon emissions generated by the principal contributors. This will be formally documented and available to all employees.
This policy was adopted by Highland Marketing on 1 April 2024 and its implementation is the direct responsibility of the directors and indirect responsibility of all employees and third parties working for the organisation.
